Month-by-Month Timeline for Elementary ESOL 2014

Below is a month-by month overview of local school ESOL responsibilities.
The items listed below in blue are ongoing as long as new EL students arrive to your school. The item in purple is an Office of Civil Rights requirement. Schools should contact their District ESOL Lead if assistance is needed in meeting this requirement.

 August

Review Home Language Surveys of newly enrolled students (on JBC-5 Student Enrollment Form)

Review ESOL eligibility info from prior school (Contact District Lead if assistance is needed in determining ESOL eligibility from prior school)

All ESOL Teachers become WAPT-certified

Administer W-APT to new students and send ESOL Notification letters home to parents (Remember...per NCLB a school has 30 days from 1st day of school and 2 weeks after that to complete determination of eligibility and notify parents)

Complete Initial ESOL Referral Forms for all students new to Cobb

Send Waiver letters home to parents who wish to refuse ESOL services

Submit copies of paperwork to IWC and file in ESOL Green Folders

Review all ESOL student info on reports and queries to ensure accuracy

Review/create schedule for EL students

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified EL and EL-M students at the school (RTI, IEP, et al)

Complete County Ten Day Count

 

 

 September

Conduct Test Participation Committee Meetings for all ELs

Complete TPC Accommodations forms for all ESOL students (active, monitored and waived) and Testing Deferment form for those who qualify

Complete Teacher Notification of Accommodations Form and send to all classroom teachers; complete Parent Notification of Accommodations Form and send to parents (make sure to send in English and home language)

Complete Accommodations Spreadsheets and upload into Blackboard

Convene TPC meetings for all newly enrolled students and update accommodations spreadsheet in Blackboard

Review all ESOL student info on reports and queries to ensure accuracy

Complete and submit ESOL FTE reports

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

 October

Assist classroom teachers in understanding implementation of accommodations

Review all ESOL student info on reports and queries to ensure accuracy

Send out Monitoring forms to all classroom teachers; collect and review. Place completed form in ESOL Folder

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

November

Review all ESOL student info on reports and queries to ensure accuracy

Prepare spreadsheet of EL students for ACCESS testing plan

Assign preliminary Tier level of ACCESS to all ESOL students

Submit ACCESS online test order form to Janet Gaa

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

December

Review all ESOL student info on reports and queries to ensure accuracy

Create ACCESS Testing plan

Send out Monitoring forms to all classroom teachers; collect and review. Place completed form in ESOL Folder

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

January

Complete County Ten Day Count

Send AMAO letters to parents of ESOL students

Send Letter of Notification of ACCESS Testing to parents of ESOL students

Review ACCESS Testing plan

Finalize ACCESS Tier assignments and ACCESS testing plan

Begin ACCESS testing

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

February

Continue ACCESS testing

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

March

Review student info on all ACCESS tests

Complete and turn in ACCESS tests

Send out Monitor forms to all classroom teachers; collect, review and place in ESOL Folders

Review TPC Accommodations forms with all classroom teachers and local testing coordinator

Assist in Testing plan for CRCT with local test administrator

Submit list of student names for Deferment to local testing administrator

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

April

Assist in CRCT administration and ESOL accommodations

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, et al)

 

 

May

Review ACCESS test scores

Complete ESOL Program Exit forms for students who qualify for exit and review with District ESOL staff

District ESOL to review and approve all ESOL Program exits

Send home ACCESS Reports and Parent Letters with information regarding exit and/or continuation of services

Complete and email ESOL Student Information Spreadsheet to feeder schools

Send out Monitoring forms to all classroom teachers; collect and review. Place completed form in ESOL Folder

Ensure ESOL representation on all meetings that involve the academic interests of ALL identified ESOL and ESOL-M students at the school (RTI, IEP, Retention Committee, et al)
